General Terms and Conditions for The Alpine Adventure Agency:

Tour Prices: Prices are stated in US Dollar (USD) or EURO, as noted, and payments are in the USD values. All prices are per person and based on two people in a double standard occupancy room. Single and triple reservations are available with a price adjustment.  Upgrades with price adjustment to superior rooms and suites may be available depending on hotel availabilty. All US Dollar charges are based on current exchange rates plus .035 USD and are subject to change without notice as a result of adverse economic changes or currency fluctuations that may affect transportation, hotels, or other related service providers. Tours priced in a EURO currency price are subject to a currency conversion to USD for the purpose of the tour payment. Due to currency fluctuations, the final tour price reconciliation will be based on the USD/EURO currency exchange market rate related to the first day of the selected tour. At that time, if the U.S. Dollar  devalues by 2% or more, The Alpine Adventure Agency reserves the right to adjust the tour price (increase or decrease) accordingly. Prices do not include items of a personal nature such as laundry, wines, water, beverages, food other than the table d'hote menu, passport and visa fees, insurance, airfare, airport taxes and fees, and foreign port taxes unless specifically indicated in the package inclusions. Prices are correct at time of publication. In case of human or computer error or increase in vendor rates between the time your trip's pricing is publicized and the first day of the tour, The Alpine Adventure Agency reserves the right to re-invoice for the correct price or service. A full refund will be made to passengers who choose not to pay an increase, provided The Alpine Adventure Agency receives a written cancellation within ten days of the price increase notification.

Tour Payment: All payments are processed in the US Dollar (USD) currency values. All final and/or full payments are based on the USD/EURO currency market exchange rates plus .035 USD. Due to currency fluctuations, The Alpine Adventure Agency reserves the right to re-invoice for the correct price or service as stated in the paragraph above.
Deposit: A non-refundable deposit of $500.00 per person is required to secure a booking of an Alpine Adventure Agency tour. Reservations will be confirmed upon completion of a booking form and deposit. If you make the initial reservations less than 60 days before the date of travel, full payment and any late fee is due.

The Alpine Adventure Agency takes pride and strives to deliver tours that meet or exceed the expectations for all whom travel with our agency. To ensure this quality, honor bookings and payments to our suppliers, it is not possible to refund a deposit, or even re-apply deposit as a payment towards a future tour, as we still must run the tour for the remaining tour travelers. We strongly recommend the purchase of travel insurance.


Final Payment: Final payment for a tour is due by check or by credit card at the The Alpine Adventure Agency office 60 days prior to the first day of your selected tour date. Late payment may result in the cancellation of the tour and forfeiture of your deposit. Due to potential business activities, The Alpine Adventure Agency reserves the right to process a guest's final credit card payment between 30 and 60 days prior to the guest's first tour date. Late fees might be waived for specific tours, and will be stated in the details section in the description of that particular tour.

For tour participants residing outside the United States, the final payment will automatically be charged 60 days prior to the tour start date to the credit card that was supplied for the deposit. By agreeing to the Terms and Conditions, international clients are authorizing this charge. If a tour participant wishes to make alternate arrangements for final payment or to provide an alternate credit card, the tour participant must contact The Alpine Adventure Agency at least two weeks before final payment is due.


Late Bookings: There will be a $100 late fee if the tour start date is between 31 and 60 days from the date the booking form is completed with an Alpine Adventure Agency representative . There will be a $250 late fee if the tour start date is 30 days or less from the date the booking form is completed with an Alpine Adventure Agency representative. Late fees might be waived for specific tours, and will be stated in the details section in the description of that particular tour.
Cancellations: Deposit and final payment are nonrefundable after the participants are notified that the tour has achieved its minimum number of people and the tour is guaranteed to run, and cannot be applied to another tour package. The purchase of travel insurance, which covers cancellation due to but not limited to, medical reasons, default and/or airline strike, weather, etc. is strongly advised. Full refunds will be made if The Alpine Adventure Agency cancels a tour. The Alpine Adventure Agency may cancel any tour up to 30 days prior to departure for any reason, including insufficient participants to operate the program. The Alpine Adventure Agency will make every effort to follow any published itinerary, but variances may occur due to availability and factors beyond the control of said operator. The Alpine Adventure Agency may in its sole discretion substitute a hotel, service, outing or good of similar quality for an of our tours. 
Refunds and Adjustments: There will be no refunds for any unused portion of the tour. The Alpine Adventure Agency will strive to deliver tours that meet or exceed the tour participant expectations.
Certification of Health: By making payment, each tour participant certifies that he or she does not have any condition or disability that would create a hazard or hardship for any other tour participant on the tour and the tour participant understands that health care standards, facilities and services in Europe may be different or inadequate for treatment of certain health conditions. The Alpine Adventure Agency makes no representations or warranties and disclaims any made regarding special accommodations or handicap accessibility on any tour. The Alpine Adventure Agency reserves the right to decline accepting or retaining any tour participant whose health or actions in The Alpine Adventure Agency ‘s sole judgment impede the operation of a trip or the welfare or enjoyment of fellow tour participants.
Disabilities and Assistance: Tour participants requiring any form of assistance are required to notify The Alpine Adventure Agency in writing at the time of reservation, and must be accompanied by an individual responsible for providing those services. We will review this requirement on an individual basis.The Alpine Adventure Agency tour representatives, guides, drivers or other tour, hotel personnel are not able to provide such assistance. The Alpine Adventure Agency will be happy to work with a participant with special needs prior to the tour to help secure the services/ equipment needed to allow that individual to participate and enjoy our tours.  Due to physical constraints and space limitations, wheelchairs and walkers may only be taken aboard motor coaches if pre-arranged in advance with The Alpine Adventure Agency  in writing, and based on the availability of space.  Some excursions may not be able to accomodate wheelchairs and walkers under any circumstance.  The Alpine Adventure Agency reserves the right to remove any person from a tour who has not provided the required notification, has not received written confirmation from The Alpine Adventure Agency, or does not comply with these regulations. All related expenses, including those to return home, will be borne by the traveler.
Dietary Needs and Medical Conditions: The Alpine Adventure Agency cannot accommodate any allergies, dietary needs or restrictions unless stated otherwise in the description of a specific package. It is the sole responsibility of the tour participant to notify The Alpine Adventure Agency in advance of individual dietary needs in the event that accomodations can be made 
Transfers: Where transfers are included, there is one scheduled group transfer for arrival and departure at a designated time and place. It is the responsibility of the tour participant to be at the transfer point at the designated time. If you deviate from the arrival and/or departure dates as stated in the itinerary, you will be responsible for all cost incurred to join or leave the tour. In case of a delay, whether due to flight delay or time spent reporting baggage damage or loss, it will be your responsibility to make other transfer arrangements such as a taxi. Transfer costs are not refundable and any additional expenses will be your responsibility. Private transfers can be arranged for an additional fee. Please be advised that if you are arriving and/or departing on the dates of the program, a late arrival or very early departure will necessitate a special transfer at an additional fee to the individual. We would be happy to confirm transfers with you before you finalize your travel arrangements. The Alpine Adventure Agency is not responsible for late arrivals due to flight delays or any other reason. If you are delayed, we will do our best to transfer you to the tour whenever you arrive, but please be prepared to pay an additional fee in Euros direct to the driver.
Smoking: Smoking is not allowed on transportation that is exclusively provided by The Alpine Adventure Agency.

Baggage: Each tour participant is limited to one large suitcase and one small carry-on due to limited baggage area on buses. The Alpine Adventure Agency cannot take responsibility for damaged luggage; delay in baggage transportation; or, baggage loss, as a result of handling by a common carrier. The same holds true for baggage handling during airport transfer, rail, and taxi or minibus transfers. It is strongly recommended that the tour participant purchase baggage insurance to protect their belongings.
Porterage: The tour participant will be responsible for taking their own luggage through customs, and for taking their own luggage with them when traveling from point to point. Since porters and/or luggage carts are not always readily available, you may need to be comfortable with carrying your own luggage. Every effort will be made to ensure that assistance with luggage carrying will be available. The Alpine Adventure Agency has made arrangements with some suppliers to facilitate porterage whenever possible. Details will be provided upon request to The Alpine Adventure Agency.
Accommodations: Hotel rooms are included, offering full private facilities and in-room amenities. In all locations, The Alpine Adventure Agency has taken extra care in personally inspecting and selecting rooms for our clients at all hotels, to ensure maximum client security and comfort.

Please be advised that you will encounter living standards and practices that may be different from our North American standards with respect to the provision of some services and accommodation. The Alpine Adventure Agency strongly recommends that before traveling overseas you should obtain the latest travel information reports on countries to be visited from the U.S. State Department.


Meals: Some meals are included as specified in the tour itinerary.
Your Tour Price Does Not Include: Airfare, Airport Departure Taxes, Airport Improvement fees (if not include in the air transportation ticket price); other departure taxes where applicable; excess baggage charges; meals not specified; hotel restaurant gratuities (where not included in the menu price); gratuities to taxi and bus drivers, tour guides, etc.; telephone calls; any other personal communications; and, all items of a personal nature.
Group Harmony: To ensure the desired group synergy, The Alpine Adventure Agency reserves the right to accept, reject or expel any tour participant who is deemed disruptive or incompatible with the interests of the group. All expenses to do so will be borne by the tour participant.

Itinerary Changes: Due to the nature of expeditions, tour packages, excursions and/or other services provided; weather, acts of God and/or government may require changes to be made to the itineraries and/or the cancellation of certain excursions or add-ons. Every attempt will be made to adhere to the itineraries described within the limits of safety and time. If the services included in the tour cannot be supplied or there are changes in an itinerary for reasons beyond the control of The Alpine Adventure Agency, The Alpine Adventure Agency will arrange for the provision of comparable services. When comparable services are used, tour participants have no right to any refund or other compensation, for these tours, excursions, accommodations and/or transportations, except where provided by the particular providers of said services. Expedition, excursions, and/or tour fees are based on group participation. Any resulting additional expense will be the responsibility of tour participants, and any resulting savings will be refunded by The Alpine Adventure Agency to tour participants.

Should you choose not to take part in any activity or make use of services provided, no refund will be made.
Holidays: During local or national holidays or special events, on Sundays, and religious occasions, certain facilities such as museums, churches, restaurants, sightseeing tours, and shopping may be limited or not available. Alternatives will be offered whenever possible. The Alpine Adventure Agency cannot be held responsible for any closures or curtails for any reason.
Travel Documents: It is the responsibility of each tour participant to obtain and carry a valid passport, visa(s), and any other documents required by applicable government regulations. Non US residents may require special travel documents. Check with your local embassy or consulate. The Alpine Adventure Agency is not responsible for providing you with specific visa and passport information or documentation and The Alpine Adventure Agency cannot accept liability for any passenger refused entry onto any transport or into any country due to failure of the passenger to carry correct documentation. Most countries require that the passport be valid for at least six (6) months beyond the conclusion of your trip. It is recommended you have a minimum of three blank pages in your passport when traveling, as many countries require blank pages. Multiple-entry visas are required for some vacations. It is your responsibility to verify all visa and passport requirements.

Cancellations:  Cancellations due to medical reasons can only be covered by your travel insurance carrier. In waiving the purchase of travel insurance you indicate that you understand that all payments are non-refundable, non-transferable, and cannot be re-applied, even in the event of an emergency, catastrophe, or unexpected illness, accident, or death.
Medical evacuation: The Alpine Adventure Agency does not provide medical evacuation coverage, payments or arrangements for tour participants. The Alpine Adventure Agency has made special arrangements for our tour participants to take advantage of medical transportation coverage. Errors: In case or printing, typographical error, computer error, verbal or human billing error, we reserve the right to invoice or re-invoice participants with corrected billing.
Responsibility: The Alpine Adventure Agency does not own or operate any of the suppliers of services or accommodations for your tour. As a result, it is not responsible for any negligent or willful act or failure to act of any such supplier or of any third party over whom The Alpine Adventure Agency has no control. The Alpine Adventure Agency and its representatives act only in the capacity of an agent of all land transportation, sightseeing, excursions, tour operators and hotels which provide services included in the specified tour. The individual tour participant agrees that The Alpine Adventure Agency and its representatives shall not be liable for any injury, damage, loss, accident, delay, or irregularity, liability or expense to person or property due to any act of default by  tour participants, hotel, land transportation carrier, restaurant supplier or other contractor rendering or providing services. The Alpine Adventure Agency and its representatives shall not be responsible for any expense or liability resulting from labor disputes, war, acts of terrorism, government restraints, weather conditions, sickness, pilferage or any other cause beyond their control. The Alpine Adventure Agency and its representatives reserve the right to accept, or to retain or refuse any person as a tour participant of any tour or to cancel any event, program or activity of a tour if circumstances so demand. The Alpine Adventure Agency and its representatives reserve the right to cancel any tour prior to departure for any reason (including insufficient number of participants) or to change itineraries and/or substitute services or hotels of equal quality without prior notification.
Participant Agreement Release, Acknowledgment of Risk and Waiver and Release of Liability: In consideration of The Alpine Adventure Agency furnishing services to enable me to participate in one of its tours, I agree as follows:

I fully understand and acknowledge that travel activities have: (a) inherent risks, dangers and hazards and such exists in my participation in The Alpine Adventure Agency sponsored activities; (b) my participation in such activities may result in injury or illness; (c) these risks and dangers may be caused by the negligence of the owners, employees, officers or agents of The Alpine Adventure Agency, the negligence of the participants, the negligence of others, accidents, breaches of contract, the forces of nature or other causes; and (d) by my participation in these activities, I hereby assume all risks and dangers and all responsibility for any losses and/or damages, whether caused in whole or in part by the negligence or other conduct of the owners, agents, officers, or employees of The Alpine Adventure Agency, or by any other person, including myself.

I, on behalf of myself, my personal representatives and my heirs hereby voluntarily agree to release, waive, discharge, hold harmless, defend and indemnify The Alpine Adventure Agency and its agents, officers and employees from any and all claims, actions or losses for bodily injury, property damage or loss, wrongful death, loss of services or otherwise which may arise out of my participation in The Alpine Adventure Agency's tour activities. As a tour participant, I further agree that they will indemnify and hold The Alpine Adventure Agency harmless in respect of any claims arising in connection with the trip made by: a) third parties, which arise from the misconduct of the tour participants; b) the tour participant traveler's family members, dependants of heirs, c) third parties, which the traveler, their estate, their family member, dependants of heirs have sued, if damages are recovered from such third parties, to the extent the third party obtains any indemnification from The Alpine Adventure Agency, except where the loss, injury, death or damage is caused by the reckless or fraudulent conduct on the part of The Alpine Adventure Agency, or their employees, guides, shareholders, officers or directors.

I understand that The Alpine Adventure Agency reserves the right to take photographic or film records of any of its programs, and hereby agree that The Alpine Adventure Agency may use any such photographic or film records for promotional and/or commercial purposes without any remuneration to the tour participant . The tour participant agrees to assign all right, title and interest they may have in or to any media in which their name or likeness might be used by The Alpine Adventure Agency.


The venue of any dispute between the parties that may arise out of this agreement or otherwise shall be the Circuit Court of Frederick County, Maryland, USA.
